The Haven Gateway Partnership are seeking quotations for a new website for the Haven Gateway Partnership.

Q:The timescales are tight, are you able to consider a revised completion date for the main website?
A: We have revised the timescale so that completion of the main website is now 30 November 2017 with an additional milestone added for 5 October for a screenshot/design of the main website to be available to show at our annual meeting.

Q: You mention the need to integrate with a CRM system, still be decided.  Can you clarify what the CRM will hold and be used for, what date the CMS will need to draw down and what data will need to be fed back?
A: In terms of what we will need the system to record/do:
  •  Company details (address, sector, size)
  • Contact details (names, email, telephone numbers, titles)
  • Contact made with organisations/individuals (telephone calls, meetings, emails). It would be great if it integrated with Outlook.
  • Events invited to and attended
  • Send newsletters/emails or link into a system that does
  • Import/export data to/from Excel
  • For the projects, it will need to be able to hold a record of each company, the outputs it reaches and the funding it is offered as well as recording attendance at events so that we can pull down the information into Excel for reporting to the Managing Authority. 
  • We also would like to be able to analyse the data through some BI software, particularly for TALE which has a focus on the use of data analytics.
  • In terms of users, it would be 5 to start with, increasing with each project team that comes online – at the present time we would expect this to be another 10 users over the next year.
Q: When are you looking to develop the CRM itself? Am I right in understanding the CRM is a completely separate project and we do not need to price this aspect up as part of this RFQ?
A: The CRM will be developed for the first project which we hope will start in January 2018.  You are right in understanding that it is a separate project and there will be budget available within this project for customisation to ensure that there is best fit with the website and other systems.

Q: What elements from the list do you need the website to automatically feed through to the CRM system?
A: The list is what we are wanting from a CRM system.  In reality, probably most of what will come through from the website will be around event booking and automation so that it automatically shows on the CRM system if someone books a place online at an event.  If the website CMS offers the ability to mail out then the CRM will obviously need to link in with that aspect for newsletters, event invites etc.

Q: Do you want the new website to be based on the current HGP website? E.g. all the current content/pages plus the events/members additions outlined in your brief? 
A: The quick answer is not identical but similar - we will want some pages but we want our evidence base to be in a Closed area for example. The content will be updated from what is currently there - some will transfer but we will be responsible for providing content.
